AI Outbound Calling
Fact Checked
Cost model sourced to BLS wage data and published vendor rates
Updated
Contractors are on a roof, under a sink or in a crawlspace when the phone rings. Emergency work goes to whoever picks up, and quote follow-up never happens because the day ends and the truck still needs unloading.
What It Actually Costs To Run This Manually
The cost comparison, with sources
A human agent is paid for every minute they are on shift. An AI agent is billed only for minutes it is actually on a connected call. That difference — not the headline hourly rate — is where the saving comes from, and it means the honest comparison depends entirely on your agent utilisation.
Human agent
$21.53/hour
$0.36 per minute of paid time — whether or not anyone answers.
US median wage for Customer Service Representatives, $44,770/year (BLS, 2025). Wage only — excludes payroll tax, benefits, software, supervision and facilities.
AI agent
$0.05–$0.50/min
Per minute of connected call. Cheapest published rate: Vapi at $0.05. Most expensive: TheLeadRouter at $0.50.
Published voice rates from the 6 platforms in our review that disclose one. Several bill model, telephony or transcription costs on top — see each review for the all-in figure. The other 8platforms publish no per-minute voice rate at all.
Effective human cost per minute of live conversation
| If agents are on live calls… | Cost per talk-minute | vs AI at $0.05/min |
|---|---|---|
| 20% of paid time | $1.79 | 36× the AI rate |
| 35% of paid time | $1.03 | 21× the AI rate |
| 50% of paid time | $0.72 | 14× the AI rate |
How to read this: utilisation is the share of paid time an agent spends in live conversation, after dialling, no-answers, voicemails, wrap-up and breaks. Use your own figure — we deliberately do not publish an industry average, because it varies enormously by list quality and dialler type. The AI column is not free either: it excludes build time, telephony and the human handling every transfer the agent passes on.
Where The Cost Comes Out
Cost reduction in this industry is not a single number. It comes from three or four specific places, and knowing which apply to you determines whether a deployment pays back.
Capturing emergency calls that currently go to competitors
Emergency jobs are the highest-margin work and the most time-sensitive. Missing them is the single largest leak in the trade.
Quote follow-up that otherwise does not happen
Issued quotes that are never chased have a materially lower close rate. This is recoverable revenue sitting in a spreadsheet.
Not hiring an office manager purely for phone coverage
Many small trades businesses add admin headcount mainly to answer phones.
Where The Predictability Comes From
The cost argument gets the attention, but operators who have run this for a while tend to say the bigger win is variance removal. US employers post roughly 289,500 customer-service openings a year largely to replace turnover, and the occupation is projected to shrink 5% through 2035 (BLS, 2025) — staffing a phone line is getting harder, not easier.
Emergency calls are triaged the same way every time
Severity questions get asked consistently, so dispatch decisions stop depending on who answered.
Quote follow-up runs on a schedule
Every quote gets chased at the same interval instead of whenever someone remembers.
What To Automate, What To Keep Human
The deployments that fail are almost always the ones that automated a conversation requiring judgement. The line below is where we would draw it in this industry.
Hand to an agent
- Answering while crews are on site
- Emergency triage and severity classification
- Quote follow-up sequences
- Seasonal maintenance reactivation campaigns
Keep with a person
- Quoting a job that has not been seen
- Anything involving a safety hazard — gas, electrical, structural
- Disputes about completed work
Best Practices
Triage severity before scheduling
A burst pipe and a dripping tap are not the same call. Build explicit severity questions and route true emergencies straight to a human or the on-call tech.
Never let it quote a price on unseen work
Trades quotes depend on what is behind the wall. An agent quoting a figure you cannot honour damages trust and may bind you.
Follow up on quotes, not just answer calls
Most contractors buy this for inbound and get the bigger return from outbound quote chasing. Set it up on day one.
Keep cold homeowner lists well away from it
Following up an enquiry is low risk. Calling purchased homeowner lists is TCPA-regulated and needs DNC scrubbing and consent records.

Compliance Exposure
Following up on an inbound enquiry is low risk. Cold-calling homeowners from a purchased list is TCPA-regulated and requires DNC scrubbing.
General information, not legal advice. Consult counsel before running outbound campaigns in a regulated vertical.
A Rollout Sequence That Works
Order matters more than platform choice. Every step below is chosen so that the previous one has already proven the agent can be trusted with the next.
Deploy on missed inbound calls with severity triage and on-call transfer
Add automated quote follow-up at fixed intervals
Add seasonal maintenance reactivation to existing customers
Review booked-job rate against pre-deployment baseline
