AI Outbound Calling
Fact Checked
Cost model sourced to BLS wage data and published vendor rates
Updated
Portal and web enquiries decay in minutes. An agent showing a property cannot answer, and by the time they call back the enquirer has spoken to two other agents. The business is won or lost in the first few minutes after a form submission.
What It Actually Costs To Run This Manually
The cost comparison, with sources
A human agent is paid for every minute they are on shift. An AI agent is billed only for minutes it is actually on a connected call. That difference — not the headline hourly rate — is where the saving comes from, and it means the honest comparison depends entirely on your agent utilisation.
Human agent
$21.53/hour
$0.36 per minute of paid time — whether or not anyone answers.
US median wage for Customer Service Representatives, $44,770/year (BLS, 2025). Wage only — excludes payroll tax, benefits, software, supervision and facilities.
AI agent
$0.05–$0.50/min
Per minute of connected call. Cheapest published rate: Vapi at $0.05. Most expensive: TheLeadRouter at $0.50.
Published voice rates from the 6 platforms in our review that disclose one. Several bill model, telephony or transcription costs on top — see each review for the all-in figure. The other 8platforms publish no per-minute voice rate at all.
Effective human cost per minute of live conversation
| If agents are on live calls… | Cost per talk-minute | vs AI at $0.05/min |
|---|---|---|
| 20% of paid time | $1.79 | 36× the AI rate |
| 35% of paid time | $1.03 | 21× the AI rate |
| 50% of paid time | $0.72 | 14× the AI rate |
How to read this: utilisation is the share of paid time an agent spends in live conversation, after dialling, no-answers, voicemails, wrap-up and breaks. Use your own figure — we deliberately do not publish an industry average, because it varies enormously by list quality and dialler type. The AI column is not free either: it excludes build time, telephony and the human handling every transfer the agent passes on.
Where The Cost Comes Out
Cost reduction in this industry is not a single number. It comes from three or four specific places, and knowing which apply to you determines whether a deployment pays back.
Not paying an ISA salary for first-contact qualification
Inside sales agents exist largely to call new enquiries fast and qualify them. First contact and basic qualification is exactly what an agent does well.
Agent time not spent on unqualified enquiries
Timeline, financing status and whether they have an agent already will disqualify a large share of enquiries before anyone needs to drive anywhere.
Where The Predictability Comes From
The cost argument gets the attention, but operators who have run this for a while tend to say the bigger win is variance removal. US employers post roughly 289,500 customer-service openings a year largely to replace turnover, and the occupation is projected to shrink 5% through 2035 (BLS, 2025) — staffing a phone line is getting harder, not easier.
Speed to lead stops varying by who was free
Every enquiry gets contacted in the same window, including evenings and weekends when portal traffic peaks.
Qualification criteria are applied identically
Pre-approval status, timeline and motivation get captured on every record, making pipeline forecasting possible.
What To Automate, What To Keep Human
The deployments that fail are almost always the ones that automated a conversation requiring judgement. The line below is where we would draw it in this industry.
Hand to an agent
- Instant response to portal and web enquiries
- Buyer qualification on timeline, financing and representation
- Viewing scheduling and confirmation
- Past-client check-ins and anniversary calls
Keep with a person
- Negotiation of any kind
- Property-specific advice and market opinions
- Anything after a viewing is booked
Best Practices
Respond in minutes, and measure that specifically
The whole thesis here is speed. Instrument time-from-submission-to-first-contact as your primary metric, not call count.
Cold prospecting for listings is a different legal universe
Responding to an inbound enquiry is low risk. Calling homeowners to solicit listings is squarely TCPA and DNC territory and real estate is an active enforcement area. Do not let the same agent do both without separate consent handling.
Hand off warm, not cold
Transfer to the agent while the enquirer is still on the call where possible. A booked callback converts far worse than a live handoff.
Do not let the agent quote on price or condition
Anything it says about a property is a representation. Restrict it to scheduling and qualification.

Compliance Exposure
Cold-calling homeowners to solicit listings is squarely TCPA and DNC territory, and real estate is an active enforcement area. Scrub against the National DNC Registry and keep written consent records. Responding to an inbound enquiry is a different risk profile entirely.
General information, not legal advice. Consult counsel before running outbound campaigns in a regulated vertical.
A Rollout Sequence That Works
Order matters more than platform choice. Every step below is chosen so that the previous one has already proven the agent can be trusted with the next.
Connect the agent to your enquiry source with sub-five-minute trigger
Qualify on timeline, financing and representation only
Add live transfer to the on-duty agent
Add viewing confirmation to cut no-shows, then past-client outreach
