AI Outbound Calling
Fact Checked
Cost model sourced to BLS wage data and published vendor rates
Updated
The phone rings hardest exactly when nobody can answer it — during service. Every unanswered call is a table that goes to a competitor, and the restaurant never learns it happened.
What It Actually Costs To Run This Manually
The cost comparison, with sources
A human agent is paid for every minute they are on shift. An AI agent is billed only for minutes it is actually on a connected call. That difference — not the headline hourly rate — is where the saving comes from, and it means the honest comparison depends entirely on your agent utilisation.
Human agent
$21.53/hour
$0.36 per minute of paid time — whether or not anyone answers.
US median wage for Customer Service Representatives, $44,770/year (BLS, 2025). Wage only — excludes payroll tax, benefits, software, supervision and facilities.
AI agent
$0.05–$0.50/min
Per minute of connected call. Cheapest published rate: Vapi at $0.05. Most expensive: TheLeadRouter at $0.50.
Published voice rates from the 6 platforms in our review that disclose one. Several bill model, telephony or transcription costs on top — see each review for the all-in figure. The other 8platforms publish no per-minute voice rate at all.
Effective human cost per minute of live conversation
| If agents are on live calls… | Cost per talk-minute | vs AI at $0.05/min |
|---|---|---|
| 20% of paid time | $1.79 | 36× the AI rate |
| 35% of paid time | $1.03 | 21× the AI rate |
| 50% of paid time | $0.72 | 14× the AI rate |
How to read this: utilisation is the share of paid time an agent spends in live conversation, after dialling, no-answers, voicemails, wrap-up and breaks. Use your own figure — we deliberately do not publish an industry average, because it varies enormously by list quality and dialler type. The AI column is not free either: it excludes build time, telephony and the human handling every transfer the agent passes on.
Where The Cost Comes Out
Cost reduction in this industry is not a single number. It comes from three or four specific places, and knowing which apply to you determines whether a deployment pays back.
Capturing bookings currently lost to an unanswered phone
This is nearly pure incremental revenue, because the demand already existed and the cost of serving it is the same.
Not adding a host shift to cover phone volume
Phone coverage is a poor reason to add labour hours in a thin-margin business.
Where The Predictability Comes From
The cost argument gets the attention, but operators who have run this for a while tend to say the bigger win is variance removal. US employers post roughly 289,500 customer-service openings a year largely to replace turnover, and the occupation is projected to shrink 5% through 2035 (BLS, 2025) — staffing a phone line is getting harder, not easier.
Every call is answered during service
Booking capture stops being a function of how slammed the floor was.
Consistent answers to routine questions
Hours, location, dietary and parking questions get the same correct answer every time, rather than whatever the nearest staff member remembered.
What To Automate, What To Keep Human
The deployments that fail are almost always the ones that automated a conversation requiring judgement. The line below is where we would draw it in this industry.
Hand to an agent
- Taking reservations during service hours
- Answering hours, location, menu and dietary questions
- Waitlist callbacks when a table opens
- Large-party and private-event enquiry capture
Keep with a person
- Complaints about a meal or an experience
- Private-event negotiation and custom menus
- Anything involving an allergy where a mistake is dangerous
Best Practices
Integrate with the booking system or do not bother
An agent that cannot write to your reservation platform is an expensive way to take messages during service — the exact problem you were solving.
Route allergy questions to a human immediately
Allergen information is a safety issue. Do not let a language model improvise on it, ever.
Keep the script short
Diners calling a restaurant want a time and a table. Long agent preambles cause hang-ups. Test aggressively for time-to-booking.

Compliance Exposure
Low regulatory exposure — most calls are inbound and customer-initiated. If you run outbound promotional campaigns to past diners, standard TCPA marketing consent rules apply.
General information, not legal advice. Consult counsel before running outbound campaigns in a regulated vertical.
A Rollout Sequence That Works
Order matters more than platform choice. Every step below is chosen so that the previous one has already proven the agent can be trusted with the next.
Connect the agent to your reservation system first
Deploy on overflow during service hours only
Extend to full-time answering once booking accuracy is proven
Add waitlist callback and event enquiry capture
