AI Outbound Calling

Cost model sourced to BLS wage data and published vendor rates

Updated

A small business loses revenue in the gap between a customer calling and someone being free to answer. The call does not wait — it goes to the next listing. Most owners try to solve this by answering the phone themselves, which caps how much of the business they can actually run.

What It Actually Costs To Run This Manually

The cost comparison, with sources

A human agent is paid for every minute they are on shift. An AI agent is billed only for minutes it is actually on a connected call. That difference — not the headline hourly rate — is where the saving comes from, and it means the honest comparison depends entirely on your agent utilisation.

Human agent

$21.53/hour

$0.36 per minute of paid time — whether or not anyone answers.

US median wage for Customer Service Representatives, $44,770/year (BLS, 2025). Wage only — excludes payroll tax, benefits, software, supervision and facilities.

AI agent

$0.05–$0.50/min

Per minute of connected call. Cheapest published rate: Vapi at $0.05. Most expensive: TheLeadRouter at $0.50.

Published voice rates from the 6 platforms in our review that disclose one. Several bill model, telephony or transcription costs on top — see each review for the all-in figure. The other 8platforms publish no per-minute voice rate at all.

Effective human cost per minute of live conversation

If agents are on live calls…Cost per talk-minutevs AI at $0.05/min
20% of paid time$1.7936× the AI rate
35% of paid time$1.0321× the AI rate
50% of paid time$0.7214× the AI rate

How to read this: utilisation is the share of paid time an agent spends in live conversation, after dialling, no-answers, voicemails, wrap-up and breaks. Use your own figure — we deliberately do not publish an industry average, because it varies enormously by list quality and dialler type. The AI column is not free either: it excludes build time, telephony and the human handling every transfer the agent passes on.

Where The Cost Comes Out

Cost reduction in this industry is not a single number. It comes from three or four specific places, and knowing which apply to you determines whether a deployment pays back.

Replacing an after-hours answering service retainer

Traditional answering services bill a monthly retainer plus per-minute rates for a human who mostly takes a message. An AI agent that books directly into your calendar removes the message-taking step entirely.

Not staffing a seat for call volume you cannot predict

Hiring for peak call volume means paying for idle time at every other hour. Concurrency you buy by the line lets you cover the peak without carrying the trough.

Recovering calls you currently miss outright

This is usually the biggest number and the hardest to see, because a missed call leaves no record. Measure it before you buy anything.

Where The Predictability Comes From

The cost argument gets the attention, but operators who have run this for a while tend to say the bigger win is variance removal. US employers post roughly 289,500 customer-service openings a year largely to replace turnover, and the occupation is projected to shrink 5% through 2035 (BLS, 2025) — staffing a phone line is getting harder, not easier.

Every call gets the same qualification

A human answering between other tasks asks different questions each time. An agent asks the same ones in the same order, so your lead records are comparable week to week.

Capacity is a number you set, not a hope

Concurrency is purchased in lines. Ten lines means ten simultaneous calls, always — no sick days, no lunch gap, no Monday surge that nobody covered.

What To Automate, What To Keep Human

The deployments that fail are almost always the ones that automated a conversation requiring judgement. The line below is where we would draw it in this industry.

Hand to an agent

  • Answering and qualifying inbound calls outside business hours
  • Booking appointments directly into the calendar
  • Answering routine questions about hours, location, pricing and availability
  • Following up on web form submissions within minutes

Keep with a person

  • Any call where the customer is upset or the situation is unusual
  • Negotiating price or scope
  • Anything involving a complaint that could escalate

Best Practices

Start with inbound, not outbound

Inbound callers already want to talk to you, so the agent starts from consent and goodwill. Cold outbound is a harder problem with more legal exposure — get the easy win first.

Instrument your missed calls before you buy

Pull your carrier or tracking-number logs for unanswered and after-hours calls over 30 days. If you cannot state that number, you cannot evaluate whether any platform paid for itself.

Make the handoff to a human obvious and fast

Callers forgive an AI that transfers them quickly. They do not forgive one that traps them. Set an explicit transfer trigger on confusion, repeat questions and any request for a person.

Book, do not just take a message

A booked appointment is worth an order of magnitude more than a logged message. If the agent cannot write to your calendar, you have bought a more expensive voicemail.

Compliance Exposure

If you are calling existing customers about an existing relationship, your exposure is far lower than cold marketing calls. The moment you dial a purchased list, TCPA consent rules apply in full.

General information, not legal advice. Consult counsel before running outbound campaigns in a regulated vertical.

A Rollout Sequence That Works

Order matters more than platform choice. Every step below is chosen so that the previous one has already proven the agent can be trusted with the next.

  1. Measure missed and after-hours call volume for 30 days

  2. Deploy an inbound agent on after-hours only, with calendar write access

  3. Add business-hours overflow once the after-hours agent books reliably

  4. Only then consider outbound follow-up on web enquiries
